Administrative Assistant

The Administrative Assistant provides high-level administrative support to the company’s executive assistant by performing clerical functions such as preparing correspondence, sorting and handling of company mail, receiving visitors, arranging conference calls and booking travel and scheduling meetings for a subset of executives.

Essential Functions

  • Make travel arrangements for executives
  • Facilitate meeting scheduling between executives
  • Create reports, memos, letters, and other documents
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Assist with meeting and event execution
  • Record and distribute meeting minutes
  • Greet visitors and determine whether they should be given access to specific individuals
  • Perform general office duties such as ordering supplies, equipment maintenance monitoring, and maintaining record management database systems
  • File and retrieve corporate documents, records, and reports maintaining confidentiality where necessary
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Other duties as needed

Environment & Physical Demand:
This role has an anticipated working schedule of 32 hours per week.

This is largely a sedentary role. However, building access is limited to two sets of stairs. Some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. The employee is frequently required to sit for long periods of time.

Required Education and Experience

  • Five years of administrative experience
  • Associate’s or Bachelor’s degree

  • Contracting experience
  • Notary
