Office Administrator

Job Summary

The Office Administrator provides high-level administrative and clerical support to ensure the efficient operation of daily business activities. This role is responsible for managing schedules, coordinating meetings, preparing reports, and handling correspondence with professionalism and confidentiality. The Office Administrator serves as a central point of contact for internal teams and external partners, helping to streamline communication, maintain accurate records, and support special projects as needed. This position requires strong organizational skills, attention to detail, and the ability to balance multiple priorities in a fast-paced environment.

Responsibilities

  • Prepare and maintain expense reports, memos, letters, and other documents.
  • Oversee messages received via the main company line, ensuring accurate routing and follow-up with the appropriate parties.
  • Assist with meeting and event execution
  • Greet visitors and determine whether they should be given access to specific individuals
  • Perform general office duties?including replenishing supplies, equipment maintenance and facilitating lunch needs for the executive team.
  • Assist Director of Facilities with management of vendor accounts and building upkeep for multiple sites.
  • Provide administrative assistance to various departments, including legal and human resources.
  • Maintain a clean, well-organized and productive environment throughout multiple office spaces.
  • Assist with calendar management of meeting rooms and agency owned properties.
  • Coordinate and distribute corporate communications and announcements to ensure timely delivery across the organization.
  • Other duties as needed

Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
  • Minimum of five years of progressive administrative experience, preferably supporting multiple leaders or teams.
  • Demonstrated efficiency in managing competing priorities in a fast-paced environment.
  • Highly adaptable and flexible, with the ability to pivot seamlessly as business needs evolve.
  • Self-motivated with a strong sense of initiative and follow-through.
  • Exceptional organizational skills and attention to detail.
  • Proactive problem-solver who anticipates needs and delivers solutions.
  • Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This is largely a sedentary role; however, building access is limited to two sets of stairs and may require lifting or moving objects up to 30 lbs. The employee is frequently required to sit for long periods of time.

Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 9 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
